Hoefflin Ann Marx Sandra Picciano VISITORS: Paul Arnold Michael Fischer I. Call to Order A. The Director called the meeting to order at 7:14 P.M. B. The Director certified that a quorum was present. II. Secretary's Report A. The minutes had been previously distributed to the board members. B. On motion duly made, seconded and unanimously passed, the minutes of the September 11, 1997 meeting were approved. III. Treasurer's Report A. The Treasurer's report was distributed. As of 10-8-97 there is a balance of $1,445.68 in the checking account and a balance of $24,740.83 in the savings account. B. On motion duly made, seconded and unanimously passed, the minutes of the Treasurer's Report was approved. IV. Director's Report A. D. Lawson said the reports she has received from the on-the-road nights have been very good. B. The core retreat was very nice. Thanks to D. Loose for organizing the retreat. The team building with Helena Gerrard was very good. C. Bill Frost is no longer at the Christopher Club. The new director is friendly and eager to continue the relationship with IA. There are 4 years left on our 7 year contract with them. The price IA pays can be renegotiated at periodic points during the contract. D. IA can use the mirrored ball at the dances at the Christopher Club, but can not leave it there. There is track lighting on 2 sides we can use. E. The election committee is working on a slate of candidates. Elections will be held Sunday, 10-26-97 at 2:00 P.M. F. Barbara Wetzel, former music chairperson, is having heath problems and has been in the hospital. IA will send her a gift. V. Co-Director's Report A. Don Loose said IA had a very good retreat. Helena's presentation was very good. Sue Kirley will type the notes of Helena's presentation. B. Don said he had received no feedback on the newcomer's letter. Dora said she would like to give the letter to T. Girard to set up in a form with borders. C. The latest version of the handbook was distributed at the last board meeting. Don said he had received some information from R. Hoefflin concerning how to approach IA's affiliation with the Unitarians. The handbook is not the place to air dirty laundry, but the affiliation can not be ignored. We don't want to lavish a lot of praise on the Unitarians. Don said that to say IA is a social outreach program sounds like we have an affiliation with St. George's. Dora proposed having someone else write the paragraphs without bias. Committee Reports A. Program Facilitation R. Lab said there were 20 who attended Joe Casto's presentation, including a few newcomers. Ann Marx asked why the coffee at Borders was not free? The restaurant was asked to provide the coffee instead of the book store. Scott paid for the coffee. IA will offer Scott free passes or a gift certificate. B. Publicity Paul Arnold said there was potential for advertising in the Community Notebook in all Amos Suburban newspapers. It is listed inside the front page. D. Loose said IA could use it for special programs. C. Welcoming D. Collins said there was nothing new with her committee. D. Operations J. Weber said there was nothing new with his committee. Dora said the new signs for his committee have not yet been ordered. E. Newsletter C. Gelm said he had dropped the newsletter off at the printer. The calendar in the newsletter does not list all the events that are scheduled. Even if there is an article in the newsletter about an event, it does not show up in the calendar. Also, the on the road programs are still listed in the calendar as being held at St. George's. It was suggested that the calendar be removed from the newsletter and the events scheduled be listed in the body of the newsletter. F. Music Dora said some progress has been made on the cabinet renovation for the new music equipment. The music committee needs more members. It was suggested that the International Broadcasting School may have students that would volunteer. Another option would be to pay a D.J. every week. IA would prefer to keep the music committee all volunteer, the same as all other committees. G. Activities Nick Candelora said Smokeless Dances have been scheduled at the Christopher Club for 11-15, and in 1998 on 1-17, 2-21, 4-18, 7-18, 8-15, 9-19, and 11-21. Bob Winters has been scheduled as the D.J. for all the dances. Snacks will be provided and volunteers are needed to set up. Michael Fischer reported that 8 people are interested in going to the Kahiki in Columbus. To rent a van, 14 would be needed. He does intend to carpool. They will meet behind Fazoli's in Sugarcreek Plaza. Reservations must be made 24 hrs. in advance, which is this Friday. IA must pay for what is reserved. The bonfire has been scheduled at Sugar Creek Reserve. The location and wood are free. H. Social M. Huden said his committee is working on the Halloween and Birthday parties and New Year's Eve. I. Food Service No report. VII. Old Business N. Candelora said Lori Ault would like to organize euchre parties on Saturday nights. Can St. George's be used. M. Huden said the complex where he lives has a party room that could possibly be used. R. Hoefflin said that in the search for a church for IA he was turned down by 10 or 12 churches. One church gave a rate of $1800 per month. The affiliation with St. George's is a mutually beneficial relationship and the church considers that they are renting to IA for less than value. VIII. New Business C. Gelm asked about lights in the parking lot at the Christopher Club. The Club has purchased lights and they have been installed and do a good job of lighting the parking lot. IX. Visitors None. Dora said she has a conflict with the date of the November board meeting. It was decided to schedule the next meeting for Thursday, December 11, 1997 at 7:00 P.M. at St. George's Episcopal Church. The Director or Director-elect can schedule an emergency meeting if needed.
