GROUP INTERACTION BOARD MEETING - April 11, 2002

- Call to Order
- The Director called the meeting to order at 7:05 P.M.
- The Director certified that a quorum was present.
- Secretary's Report:
- The minutes were distributed prior to the meeting.
- On motion duly made, seconded and unanimously passed, the minutes of the March 14, 2002 meeting were
approved.
- The next board meeting will be held Thursday, May 9, 2002 at St. George's Episcopal
Church.
- Committee Reports:
- Publicity: No report.
- Welcoming:
D. Sech said there was confusion about the Newcomers' Party. It is three weeks away and C. Gelm has the labels. The Newcomers' Party will be on Saturday May 4 from 5:00 P.M. to 7:00 P.M. before the cards and games night begins.
New members sometimes don't like what they see. Some undesirable people do come to the meeting. IA can ask people to leave. People object to those that have body odor or are not clean. It is a sensitive subject and must be handled as
such.
It was suggested that more publicity is needed to advertise IA. Publicity has no budget and the only advertising is free.
- Operations
J. Weber said he needs tickets made. There has been a problem with one person coming in after the committee has closed up. They usually shut down at 8:20 P.M. The door could be locked at that time. People could get out, but no one could get
in.
It was suggested that the horseshoe arrangement of chairs be moved closer to the steps. The empty area could be behind the chairs instead of in front of them. H. Gerrard said she needed a table for Friday for brochures.
- Program Facilitation:
H. Gerrard said she has the program schedule through June. On Saturday the facilitators will have a training session.
- Newsletter:
T. Girard said he had nothing new. There were three months of newsletter costs in the payments for March. Andi said the bills were sitting in the mailbox. D. Collins told Tom the newsletter looks good. A suggestion was made to identify the author of articles printed. H. Gerrard asked if there was any value to articles after the fact. Yes there is. It was suggested putting some of the questions asked after a fish bowl discussion. Helena told Tom that he may edit the articles. Tom said he sometimes does have to edit the articles. Expiration of newsletter subscriptions was discussed. It does not show on the label anymore.
- Activities:
C. Sherron and S. Kirley said the activities were scheduled for two months.
- Social:
No report. The Memorial Day picnic is coming up and it is not yet known if the VFW has been rented.
- Food Service:
E. Huffman said things are running smoothly. All the committee members have been told that the weekly budget is now $30.00.
- Historical:
R. Hoefflin said he had nothing new to report.
- Treasurer's Report:
- A. Miner distributed the Treasurer's Report. Expenses were $30.16 over income. Andi compared the first quarter of 2002 with the first quarter of 2001 and the overall total for 2002 was down
$3,765.84. Most of the difference is income from the dance.
- One cost cutting measure is not renewing Sam's Club membership. Those that go to Sam's have their own membership.
- On motion duly made, seconded and unanimously passed, the Treasurer's report was approved.
- Co-Director's Report:
K. Longstreth said all the committees are doing a good job. Some changes are being made, but it takes time. He hopes everyone will hang in there.
- Director's Report:
D. Collins said she is still looking for someone to take over the data base from C. Gelm.
Diana has the contract from the Church. It is $175.00 per week. Jean Hanning has requested six weeks notice from IA for not using the Church. Diana said she will make the notation on the contract and sign it and send it back.
Diana said everyone was doing a good job and working hard to make IA a success.
- VIII. Old Business
- A. Miner said the singles hockey night was not well attended by singles. The Single Source News is planning a singles night at Los Piramides on 5-25. They also want to get a singles fest organized.
- A. Solkov asked if there was anything yet on a yearly audit. He also asked what the travel item was on the Treasurer's Report. It was a book on Quebec City.
- New Business:
- H. Gerrard said if she offended everyone she is sorry. When a new person takes over there are problems that have to be worked out. She said she has never seen a budget for her committee. Helena said she has a direct open management style and works in a team environment. She is open for discussion and criticism. Everything is subject to review and she does not take it personally. In the facilitator training they worked and problems came up. Hopefully everyone can work
together.
Helena asked about a talent night. All agreed it would be a good idea. She also said it would be fun to do something off-site. Maybe a dance lesson at the Christopher Club. Diana said she had talked with Brenda and Lee Doran about teaching a dance class in the fall. Helena said an off-site may be to go to a festival or meet with other groups. The same old thing isn't working and IA needs to do something different. It was suggested to do something active at the Church such as yoga or exercise.
- A. Solkov said attendance at the St. Patrick's dance was 150-175. Ginghamsburg had 280, and they provide the soft drinks and snacks. IA can't provide drinks at the Christopher Club, but it was
decided that on the first Friday of the month when the carry-in is at the Church, snacks would be provided at the Christopher Club. E. Huffman said the food committee would take care of it.
- Trustees:
G. Baker said the trustees need to have a meeting to finalize the budget. If a committee did not turn in a budget, the trustees will set one.
- Visitors: No Comments.
